How to avoid duplicate leads and exclude existing customers
“Duplicate” can mean the same business listing, the same company, a branch of a company or an email address you already know. Decide which of these matters before removing rows. Different matching rules answer different questions.
Choose the right matching key
- Business name: useful for review, but common names and spelling changes make it unreliable on its own.
- Listing identifier: distinguishes a particular Google Maps place, but different branches can have separate listings.
- Website domain: groups businesses sharing a website, which can be useful for company-level exclusions but too broad for branch research.
- Email address: identifies a shared contact channel, not necessarily a unique company or location.
How Lead Atlas handles repeat requests
New requests exclude leads already delivered to the same account using saved business identifiers and domain matching. Keep using the same account for repeat research. This is not a guarantee against every real-world duplicate: businesses can change websites, replace listings or use several domains.
Exclude businesses you already have
Purchased accounts can paste or upload website URLs on Excluded websites. A header is allowed, and the first 1,000 entries are taken, as explained on that page. Review the saved exclusions before running research.
For example, “https://www.example-business.test/contact/” and “http://example-business.test/” describe pages on the same business domain. Matching should be considered at domain level rather than as an exact match of those two URL strings. These example addresses are illustrative, not real prospects.
Watch for shared-domain over-exclusion
If every branch uses one national website, excluding the domain may remove all those branches. Likewise, businesses using a shared booking or directory website may need closer review. Do not assume that every shared host represents one company.
Hiding is not the same as forgetting
Hiding an active lead removes it from your active view; it does not turn it into a never-delivered lead. Review hidden leads when you want to restore something you removed. Avoid deleting your own research history just to tidy the screen.
A repeat-research checklist
- Export or review existing customers and prospects.
- Choose whether you are excluding companies or individual branches.
- Review imported domains for shared websites.
- Run new searches from the same Lead Atlas account.
- Check the export against your CRM's own duplicate rules before import.
Next: prepare a safe CRM import.
